Job Description
A large retail business group requires executive secretary.Male, UG/PG qualified, Must have 6+ yrs exp as executive secretary role to top management (Chairman/MD/ED/CEO/Director etc.)Must be willing to relocate & immediate joinerMaintain MD/CEOs agenda; assist in plan appointments, meetings, conferences etc.
Attend meetings and take minutes; follow key action tasks for closure
Receive, screen phone calls & redirect them when appropriate
Handle, prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
Make travel arrangements for MD/CEO/Guests
Handle confidential docs & ensure they remain secure
Prepare invoices or financial statements and provide assistance in bookkeeping
Monitor office supplies, negotiate terms with suppliers to ensure the most cost-effective orders
Maintain electronic/ paper records organized & accessible
Conduct research, prepare presentations or reports as assigned
UG/PG qualified (BBA/MBA preferred; but not mandatory)
Proven 6+ experience as executive secretary
Proficient in MS Office, mainly Excel & PPT
In depth knowledge of office management & basic accounting procedures as well as technical vocabulary of relevant industry
Familiarity with basic research methods & reporting techniques
Excellent organizational & time-management skills
Outstanding communication, listening & negotiation abilities
Integrity & confidentiality
Excellent interpersonal skills to deal with various teams at different level
