Job Description
Job Summary
The candidate will be responsible to schedule CEO day in such an efficient manner that coordination with all the Managers and his daily work are not hampered. Also, collecting various reports of different departments, converting it and presenting it to the CEO for better management decisions.
Roles & responsibilities
Manage and maintain the diary and email account.
Filter emails, highlight urgent correspondence and print attachments.
Organize inbound emails into the appropriate folders and any relevant information to be copied into the correct file on the hard drive.
Assisting CEO in meetings, events etc.
Calendar Management- Keeping a track of all correspondence and scheduling a reminders on outlook
Respond to emails as much as possible, dealing with appointments.
Ensure busy diary commitments, papers and travel arrangements both Domestic and International are managed effectively including producing a daily folder with diary, necessary papers etc. and troubleshooting problems.
Conduct weekly diary meetings with the Reporting Manager to discuss upcoming engagements, invitations and other requests.
Schedule meetings between him and his direct reports and the committees and groups to which he is a member.
Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place which match his requirements & comfort
VISA processing and its documentation
Filter general information, queries, phone calls and invitations by redirecting or taking forward such contact as and when appropriate.
Ensure the CEO is fully briefed on, or prepared for, any engagements he is involved in.
Keep and maintain an accurate record of documents.
Prepare correspondence on behalf of the CEO/Management, including the drafting of general replies.
Minute general meetings as required.
Keep and retrieve files of company library
Ensure meeting with guests are well taken care of.
Provide a service that is in line with the work habits and preferences.
Maintaining record of mileage points and its redemption for different airlines
To maintain a list of various hotel memberships for stay as well as privilege cards
Redeeming Credit Card reward Points and its track
Keeping a track of Attendance and ensuring staffs are adhering office policies
Receiving telephone calls at reception.

Bridging the gap between Managers & CEO
Sharing the MIS reports on daily, weekly, monthly basis.

Innovative techniques to get the work done faster
TAT of the work assigned
Desired Candidate
At least should have a Management degree
5-8 years of experience as EA, preferably from KPO/BPO Industry
Handled a team of EAs
